SWCBA Administrative Assistant
We are seeking a responsible and detail-oriented Administrative Assistant to support our board members and the membership, while assisting in the daily operations of our office. The Administrative Assistant will perform a variety of administrative and clerical tasks to ensure the efficient and smooth functioning of our organization.
The Administrative Assistant position compensation includes a monthly salary of $1,397.25 plus, the successful candidate will receive $85 per month for necessary office tools compensation. The office tools will include, but are not limited to, a computer, printer paper, a printer and printer ink plus Microsoft Office software if required. There should be no reimbursement requirements for office equipment or software.
Key Responsibilities:
- Answer and direct phone calls to the appropriate board member or committee.
- Organize and schedule Zoom calls and committee meetings.
- Plan meetings and take detailed minutes for documentation purposes.
- Write and distribute email correspondence, memos, letters, faxes, and forms.
- Assist in the preparation of regularly scheduled reports.
- Email membership invoices and registration forms to members.
- Process payments through Square or Bank of America and update records in Google Drive.
- Update and maintain office policies and procedures.
- Maintain accurate and up-to-date contact lists.
- Manage current and historical records effectively.
- Act as the primary point of contact for the association.
- Complete any other assignments as directed by board members.
- Serve as an authorized signer on the SWCBA Bank of America account.
- Support the SWCBA Secretary/Treasurer with accounting and financial activities.
Requirements:
- Proven experience as an administrative assistant or office administrative assistant.
- Knowledge of office management systems and procedures.
- Proficient in operating office equipment, such as printers and fax machines.
- Strong proficiency in MS Office Suite and Google Drive.
- Excellent oral and written communication skills.
- Strong organizational skills and the ability to manage multiple tasks.
Preferred Qualifications:
- Previous experience as a secretary or Executive Administrative Assistant.
- Familiarity with our industry is a plus.
